Enrolr

A booking, payment and member management platform for small clubs that run classes in terms or blocks.

The problem

Small clubs such as swim schools, dance schools and martial arts clubs often run on spreadsheets, message threads and paper forms. Organisers take bookings by hand, chase unpaid fees in the evening and work out sibling discounts and pro-rata prices themselves. Most club software is built for large organisations with a dedicated administrator.

What we built

LAB90 designed and built a single platform where parents book and pay for a full term or block of classes online, coaches take the register on their phone, and organisers see every family, booking and payment in one place.

Technology

  • Laravel
  • Livewire
  • MySQL
  • Tailwind CSS

The brief

Enrolr is for small clubs, coaches and activity providers that run classes in terms or blocks. Its organisers are usually coaches first and administrators second. The platform had to remove the evening admin work without asking them to learn complicated software.

What the platform does

  • Online bookings. Parents book a full term or a block of classes from one shareable timetable. The timetable shows classes, prices and free places, and filters by day, age and venue.
  • Payments at booking. Parents pay by card when they book, so organisers do not chase fees.
  • Discounts worked out automatically. Sibling discounts, pro-rata prices for late joiners, VAT and invoices are calculated by the system.
  • Family accounts. One parent account holds every child, and their details carry over to the next term.
  • Registers on a phone. Coaches see who is booked and mark attendance. They do not see payment information.
  • Reports. Organisers see bookings, attendance and revenue in one dashboard.

How we approached it

The platform is a Laravel application with Livewire for the interactive parts, such as the timetable filters, the booking flow and the register. This keeps the interface fast without a separate JavaScript front end, and it keeps the codebase small enough for one team to own.

The pricing rules for discounts, pro-rata places and VAT are in one tested part of the application. They do not live in the interface. A change to a rule therefore changes every booking, invoice and report at the same time.

Coaches and organisers have separate roles from the start, so a coach who takes a register does not see a family's payment details.

Status

Enrolr is in development and is speaking to clubs before launch. This case study describes the platform as it is built. It does not report results, because the platform has no live customers yet.
